Manage locations and fixed assets

Keep the physical location and financial history of each asset clear so the school can account for equipment throughout its life.

  1. Select the correct school.
  2. Maintain facility/location records before assigning assets to them.
  3. Create or open the asset record and check its identifying details, category and location.
  4. Use the supported acquisition, transfer, depreciation and disposal workflows for changes that affect value or ownership.
  5. Review the relevant asset reports and reconcile them with finance before posting or closing a period.

Access to facility records and access to financial posting may belong to different people. If a posting action is unavailable, ask the school administrator to review your permissions instead of creating a duplicate asset.

Before a transfer or disposal

Confirm the asset identity, current location, effective date and supporting approval. A location change and an accounting disposal have different consequences. Keep supporting documents with the school’s records.

See asset accounting and reporting for the ASIS-specific posting and reporting behaviour.
