Run payroll and produce reports

Payroll must be enabled for the school, and your account needs the relevant finance permissions. Refresh or reselect the school after its feature setting changes.

Prepare a payroll period

  1. Open Finance → Masters → Payroll → Payroll Periods.
  2. Select the correct payroll calendar and create the period with inclusive start and end dates.
  3. Check that it does not overlap another period in the same calendar. Different calendars may use the same dates.
  4. Keep the period open while authorised processing is in progress; close it through the supported period controls when complete.

Check employee calendar assignments, salary details and payheads before calculation. Review the calculation and posting preview before creating posted payroll vouchers. A preview is not a payment or a posted ledger entry.

Load the paysheet

  1. Open Finance → Reporting → Payroll → Paysheet.
  2. Choose the payroll period. Optionally select voucher types, employee groups and designations.
  3. Select Load and review the totals.
  4. Use Show Non-Salary Payheads? if those informational columns are needed. They do not increase employee net pay.
  5. Use the school’s Print/Excel workflow after reviewing the result.

Changing a filter clears the displayed result and requires another load before printing. Empty voucher-type selection combines posted payroll vouchers for the period. Closed periods remain reportable; calculation previews are not included.

Net pay is earnings plus reimbursements minus employee deductions. Employer contributions and non-cash benefits are separate totals. Cancelled entries and their reversals are excluded together. Historical reports use the posted snapshots rather than today’s changed salary settings.

Payslips and payment advice

Use the corresponding payroll report for employee payslips or payment advice, selecting the intended period and filters. Verify totals and recipients before distributing documents. Payroll reports contain personal financial data; share them only through the school’s approved channels.
